How do I rent a system from EventDock?

You pick a system on the product page and request a quote with your site and rental period. We advise on the right setup, send a proposal and, once you agree, schedule transport and installation. Renting is our standard way of working: no project or subscription needed.

What is the shortest and longest rental period?

Accepted Answer

From a single weekend to a rental of several months. Short periods use day and weekend rates, longer periods use weekly and monthly rates. For long or recurring rentals a framework agreement is usually more attractive.

Can I extend the rental while it is running?

Accepted Answer

Usually yes. Let us know as early as possible so we can check availability and extend at the applicable rate. The setup stays in place, so no new installation is needed.

How is the pricing built up?

Each system shows a from-price per day, alongside weekend, weekly and monthly rates. The quote lists transport, installation, chosen add-ons and any deposit separately. VAT applies to the rental price, not to the deposit.

Is there a deposit?

Accepted Answer

Most systems carry a deposit, listed separately in the quote. The deposit is not a cost: it is refunded after the equipment is returned and checked. No VAT is charged on the deposit.

How quickly can a system be delivered?

That depends on availability and location. A standard setup can often be arranged on short notice; larger setups or special requirements are better planned further ahead. Contact us with your dates and we will check availability right away.

Question 7

Can I still change or cancel a request?

Accepted Answer

Changes are possible in consultation as long as planning allows: a different system, an extra option or different dates. Cancellation follows the terms in your quote and our general terms. Either way, contact us as soon as possible.

Which systems can I rent directly?

Accepted Answer

Case, Pole, Connect and Gate can be rented directly, including for short periods. Case is a compact mobile set, Pole an outdoor camera position, Connect provides network and connectivity, and Gate covers temporary access control. For larger or complete sites we combine several systems into one setup.

What is the difference between Pole and Tower?

Pole is a standalone camera position you place quickly, for example at an entrance or one part of the site. Tower suits larger sites where you want more overview from a greater height. Which fits depends on your site and sight lines, and we advise on that during the request.

Is Command required when I rent multiple systems?

No. A setup with several Poles or other systems works fine without Command. Command is an optional local hub for specific purposes, such as a central on-site point, local storage or a network core.

What do I use Sense, Power and Gate for?

Accepted Answer

Sense covers temporary sensors and measurements on site. Power provides mobile energy when mains power is absent or insufficient. Gate covers temporary access control with number plate recognition, barrier, intercom and registration of visitors and suppliers.

Can I combine systems at one site?

Yes, that is standard practice on larger sites. Cameras, access control, connectivity and power are then configured and delivered as a single setup. When several systems work together, you manage them in one environment on the EventDock Platform.

Can I rent add-ons separately?

Accepted Answer

No. Add-ons complement a system and can only be rented together with one. On the Add-ons page you see the from-price per day for each option and which systems it fits.

How do I know which add-ons fit my system?

Accepted Answer

Every add-on detail page lists the systems it works with, and each product page shows the matching options. If in doubt, describe your needs in the request and we will put together the combination that suits your site.

Who takes care of transport and installation?

We do. On the first day of the rental we bring the systems, place them and hand over a working setup. Afterwards we dismantle everything and collect it again.

What do I need to arrange on site?

Mainly access to the site on the agreed day and a location where the systems may be placed. Mains power or internet is convenient but not always required. We agree clearly on what your situation needs before installation.

Can you deploy at remote sites?

Yes. For sites without fixed facilities we combine cameras with mobile connectivity and, where needed, our own power supply. Describe the site in your request and we will match the setup to it.

What is the EventDock Platform?

The platform is the environment where you view and manage your site's systems together: live footage, alerts and playback in one place. If you rent for multiple sites, they appear in the same overview. The platform is our differentiator, not a requirement: renting a single system is perfectly possible.

What exactly does the AI detection do?

Accepted Answer

Detection filters footage and flags events, for example motion, people or vehicles inside a zone you define. That way you review what stands out instead of watching all footage. Which detection makes sense for your setup is agreed per site.

What can detection not do?

Accepted Answer

Detection works with probabilities and is never flawless: false alerts occur and events can be missed. Weather, light, distance and image quality affect the result. Treat alerts as an aid, not as conclusive proof or a replacement for supervision.

Can you recognise number plates or faces?

Accepted Answer

Number plate recognition is possible, for example for access control with a list of permitted vehicles. Facial recognition is highly sensitive and is not deployed by default: it requires its own legal assessment and additional agreements. Discuss such needs in advance so we can assess together what is responsible and permitted.

Can I manage multiple sites in one overview?

Yes. If you have EventDock systems at several sites, they appear in the same environment, including alerts per site. That is especially useful when sites come and go, as with projects and events.

How is connectivity arranged on site?

Accepted Answer

Where fixed internet is unavailable we use mobile connectivity; on sites without coverage satellite is an option. The right choice depends on the location and on what you want to do with the footage. We agree on this before installing.

What if there is no power on site?

Accepted Answer

Then we provide the power supply, for example with batteries or a mobile solution for longer periods. Tell us in your request what is available on site and we will include it in the proposal.

Can I rent only connectivity or only power?

Accepted Answer

Connect can be rented as a system when you mainly need temporary network and connectivity. Power is intended as the energy supply for a setup and is rented together with the rest of your site configuration. Describe your situation in the request and we will tell you what is possible.

Where is footage stored?

Accepted Answer

That is agreed per assignment. Footage can be stored locally on the setup, in an EventDock environment, in the customer's own environment or with an external party chosen by the customer. What applies is stated in the quote and the data processing agreement.

How long is footage retained?

Accepted Answer

The customer, as controller, sets the retention period within what is legally permitted. We configure the agreed period and delete accordingly; with local storage, footage is overwritten once storage is full. If you keep footage yourself or with an external party, management sits there.

Who is responsible for camera footage under the GDPR?

Accepted Answer

For surveillance at your site you are the controller: you determine purpose, fields of view and retention. EventDock then acts as processor and works on your documented instructions. For our own administration we are the controller ourselves, as described in our privacy policy.

Do I get a data processing agreement?

Yes. When we process personal data on your behalf we conclude a data processing agreement, covering instructions, security measures, subprocessors, retention and deletion. You can also read the text on our Data processing agreement page.

What happens if something fails during the rental?

Accepted Answer

Report it to us and we will look into it remotely where possible. If a visit is needed we come by to fix it or replace parts. What was agreed about response and availability is stated in your quote.

Do you monitor during the rental?

Only if agreed. Monitoring is never mandatory: many customers review alerts and footage themselves. If you do want monitoring or follow-up on alerts, we agree on that up front.

Can I also buy a system or have it permanently installed?

Yes. Besides rental we sell systems and carry out permanent installations, for example for a site that needs continuous surveillance. This always goes through a request, because we want to assess the situation first.

What is a framework agreement and when is it useful?

A framework agreement sets fixed arrangements on rates, availability and working method, so you can call off quickly per site. It is especially useful if you regularly open and close sites, as with construction projects or an events calendar. Contact us with your expected volume and we will work it out.

Do you work with security companies and installers?

Yes. Security companies, installers, rental partners and organisers deploy our systems on their own assignments. The Partners page explains how that collaboration works.

In which countries are you active?

We work in the Netherlands, Belgium, Germany and Austria. The coverage pages show the regions per country. If your site sits just outside a listed area, simply ask: it can often be arranged.

Do you also work abroad outside those countries?

In consultation, yes. For work outside our regular area we make separate arrangements on planning, transport, travel and accommodation costs and what must be arranged on site. Contact us with the details of your location.
